Ruconn Organization Agreement

This Organization Agreement (“Agreement”) sets additional terms between the User who creates an Organization (club) on Ruconn or holds organization-owner status (“Organization owner”, “you”) and Ruconn Teknoloji Yazılım Limited Şirketi (“Ruconn”, “we”, “us”).
This Agreement contains special terms that supplement the Terms of Use and do not replace them. If there is a conflict on the same topic, this Agreement’s special rule applies only to organization-related activities; otherwise the Terms of Use apply.
By creating an Organization, accepting an ownership transfer, or continuing to manage an Organization as organization owner, you accept this Agreement.
Personal data is described in the Privacy Policy and KVKK Disclosure Notice. Those documents are not contracts or explicit-consent forms.
For users in Türkiye, if there is a conflict between the Turkish and English versions, the Turkish text prevails.
1. Parties and acceptance
The parties are Ruconn and the organization owner. The organization owner is the account holder who creates the Organization and holds organization-owner status in the service environment. This Agreement only adds organization-owner obligations; other Users remain governed by the Terms of Use.
If you create or manage an Organization on behalf of a company, association, community, brand, or other entity, you represent that you have authority to act for that entity and to publish related information on Ruconn.
2. Definitions
- Organization / club: A structure on Ruconn that may offer events and community features.
- Organization owner: The User who owns the Organization.
- Member: A User with a membership relationship to the Organization.
- Event: An activity / run (or similar) created under the Organization.
- Event organizer: The Organization and authorized users who create or manage an event.
- Content: Text, media, chat, and similar material created by the organization owner, members, or authorized users.
3. Creation and ownership
When you create an Organization, you become its organization owner. The service environment may create an identifying address for the Organization. The Organization’s visibility in the service environment is determined by the visibility setting you choose and applicable service-environment rules.
An Organization has a single organization owner at a time. A User may own at most one Organization at a time. A change of organization owner may be made through the ownership-transfer process offered by the service environment. Transfer takes effect when the new organization owner accepts ownership and the required steps are completed. The new organization owner becomes bound by this Agreement.
When the organization owner deletes their account, the Organization they own is archived and removed from discovery and general public visibility. If you want the Organization to remain active, transfer ownership to another suitable user before deleting your account.
4. Organization owner obligations
As organization owner, you:
- Keep the Organization name, description, contact details, and other information accurate, non-misleading, and lawful.
- Are authorized to use the Organization name, emblem, visuals, brand elements, and descriptions.
- Are authorized to use phone, email, and other contact details published in Organization contact fields.
- Take into account that contact details may be shown to other Users depending on visibility settings.
- Choose visibility settings knowingly (service-environment options such as public, private, or invite-only) and manage membership rules accordingly.
- Manage membership, roles, and invitations within your authority; do not grant organization-owner-only powers to unauthorized persons.
- Grant Organization roles and powers only to those who need them and remove them when no longer needed.
- Comply with applicable law and the Terms of Use when creating events, approving participation, and running attendance verification / roll-call flows.
- Provide accurate information about events’ place, time, capacity, participation terms, fees, and safety conditions.
- Assess and obtain required venue, course, public-space, and similar permissions.
- Inform participants in advance of important health, safety, equipment, and cancellation information.
- Select authorized users acting for the Organization with reasonable care, appropriately limit their powers, and remove them when needed.
5. Content and content moderation
Organization profile fields, event content, event media, and Organization / event group chats are Content. The strict zero-tolerance rules in the Terms of Use apply in full.
The organization owner cooperates with reporting and removal of objectionable content. Organization chat and event media / post reports are reviewed first by the Organization’s authorized users. Ruconn reviews safety and service-environment requests received via support@ruconn.com and the feedback channel in Settings (“Help us improve” / Turkish UI: “İyileştirmemize yardımcı ol”). Ruconn’s operational target (only for requests it receives through those channels) is to begin initial human review within 24 hours of receipt; this is not a guarantee that a final decision will be completed within 24 hours, and it does not mean Organization-queue reports are reviewed by Ruconn within 24 hours.
If the Organization does not handle a report, the report concerns an Organization official, no content reviewer is on duty, or there is a serious safety risk, the User may send the request to Ruconn via support@ruconn.com or the Settings feedback channel. Ruconn may independently review service-environment safety and serious violation requests sent to it.
Authorized Organization users may use only the content-moderation and management tools offered by the service environment, within their defined powers. This does not limit Ruconn’s right to act on service-environment violations reported to it.
6. Member and participant data
Processing of account and usage data in the Ruconn service environment is described in the Privacy Policy and KVKK Disclosure Notice.
If the organization owner processes members or participants in their own channels outside Ruconn (for example messaging apps, email lists, in-person registration), those activities fall outside the Ruconn Service. The organization owner is responsible, for processing they conduct themselves, for providing required notices, determining a lawful basis, collecting only necessary data, securing the data, and handling data-subject requests under applicable law.
Legal roles in data processing outside Ruconn are determined by the nature of the processing and applicable law. This Agreement alone does not determine the organization owner’s data-protection legal status. In-service-environment processing remains subject to Ruconn’s Privacy Policy and KVKK Disclosure Notice.
7. Authority, roles, and ownership transfer
The organization owner may build a management team using roles and invitations offered by the service environment. Some actions—such as archiving or deleting the Organization or transferring ownership—may be available only to the organization owner.
Ownership transfer is made through the ownership-transfer process offered by the service environment. Transfer is completed when the new organization owner accepts ownership and this Agreement. Until transfer is complete, the current organization owner’s obligations continue.
8. Prohibited conduct
In particular, the organization owner and Organization must not:
- Create a fake or misleading Organization, or one that imitates another’s brand or identity
- Infringe third parties’ trademark, intellectual property, or personality rights in the Organization name, emblem, or contact details
- Organize or promote illegal events
- Mislead Users about event fees, donations, dues, or payments
- Create the impression that Ruconn approves or guarantees the event, Organization, or organization owner
- Use Users’ contact or personal data for unauthorized marketing
- Engage in unwanted commercial content, fraud, or abuse
- Target communities or content at persons under 18
- Violate the objectionable-content prohibitions in the Terms of Use
9. Service-environment rights
Ruconn may restrict, suspend, archive, remove, or block access to the Organization or related accounts for breach of this Agreement, the Terms of Use, or law. Content removal, role or power limitations, and other temporary measures may apply.
Advance notice may be omitted in urgent safety, fraud, evidence-preservation, or legal-compulsion cases. Otherwise, where reasonably possible, the decision and its basic grounds are communicated. The organization owner may appeal a sanction via support@ruconn.com. The content-moderation, sanction, and appeal provisions in Terms of Use §8 also apply.
10. Fees and external payments
Creating an Organization and basic Organization management are not currently charged by Ruconn. Ruconn may later offer paid plans or Organization features; if so, terms will be communicated separately and clearly. No additional fee obligation arises unless you use a paid feature.
If the organization owner or event organizer charges a fee outside Ruconn for an event, membership, dues, or other Organization activity, they must clearly disclose to the User the amount, payment method, and cancellation and refund terms.
Unless Ruconn expressly states that it provides the payment itself, Ruconn is not a party to, collection agent for, or payment-service provider of those payments. The organization owner or event organizer is responsible for applicable tax, documentation, invoicing, consumer, and refund obligations for amounts they collect.
The organization owner or event organizer must not present a fee they collect from the User as a fee charged by Ruconn.
11. Limitation of liability
Ruconn provides a software service environment; except for events expressly stated to be organized by Ruconn, it is not the organizer or operator of field events, training sessions, or internal club activities.
The organization owner or relevant event organizer is responsible for event planning, required permissions, participant notices, safety measures, fees collected externally, and activities on the Organization’s own channels.
These provisions do not remove Ruconn’s obligations arising from its own acts, intent, gross negligence, or duties that cannot be limited by law. The liability provisions in the Terms of Use also apply to this Agreement.
12. Term and termination
This Agreement applies while your organization-owner status continues. Forward-looking organization-owner powers and obligations end if the Organization is deleted or archived, ownership is transferred, your organization-owner status ends, or your account is closed.
Termination does not extinguish rights and responsibilities arising from prior breaches, accrued payment or refund obligations, ongoing reports and reviews, legal disputes, or legal data-retention duties.
Processing of account and Organization data remains subject to the Privacy Policy and KVKK Disclosure Notice.
13. Changes
This Agreement may be updated for legal, security, technical, or Service-related reasons. Changes are generally not retroactive; legally required exceptions remain reserved.
Material changes to the organization owner’s rights or obligations are announced a reasonable time before they take effect by a direct method such as in-app notice or email, and may also be published on the website. Where law or the nature of the change requires, express re-acceptance may be obtained from the organization owner.
Some changes may take effect immediately for legal compulsion, serious security risk, or to prevent abuse.
Continuing to manage the Organization after changes that do not require express acceptance may constitute acceptance of the updated Agreement to the extent permitted by law. If you do not accept the changes, you may transfer ownership, close the Organization, or delete your account.
14. Governing law
This Agreement is governed by the law of the Republic of Türkiye. The dispute and jurisdiction provisions in the Terms of Use also apply here.
